Off-Hook Dialing

In this tutorial, we will discuss the Off-Hook dialing method. This is the method everyone should be familiar with, because it is the method most similar to how you have used your analog home phones for many years.

The biggest drawback to this method is that if you make an error entering digits, you have to hang up the call and begin again.

**IMPORTANT NOTES:

  • Dialing 9 to get an outside line is not necessary

1. Familiarize yourself with the GRP2615 idle screen

2. Lift the handset and begin entering digits on the number pad.

  1. Immediately, the dialer screen pops up and “Dialing” mode is displayed
  2. As you enter digits they will be displayed in the dialer

3. The process is identical whether you are dialing internal extensions or external phone numbers

4. Once you have entered the digits, the Dialer will automatically send the call.

5. Or, to send the call immediately, you can use these 2 methods

  • Press the Soft-Key below the green “Dial” option the LCD display
  • Press the Dial key

6. You Can End The Call Using The 2 Methods Below:

  1. Replace the handset
  2. Press the “End Call” Soft Key under the LCD Display

On-Hook Dialing

In this tutorial, we will explain how to place a call using the On-Hook dialing method. This method differs from simply picking up the handset and beginning to dial by allowing you to see the digits being entered and correct any errors before sending the call. Also, there is no frustrating dialer time-out that can send the call before you are completely finished entering the number.

 

**IMPORTANT NOTES:

  • Dialing 9 to get an outside line is not necessary
  • Calls made using this method will be initiated using the hands-free speakerphone.

1. Familiarize yourself with the GRP2615 idle screen

2. Without lifting the handset, begin entering digits on the number pad.

  1. Immediately, the dialer screen pops up and “Onhook Dialing” mode is displayed
  2. As you enter digits they will be displayed in the dialer

3. The process is identical whether you are dialing internal extensions or external phone numbers

4. Once you have verfied the digits are correct, there are 4 mehtods to send the call.

  • Press the Soft-Key below the green “Dial” option the LCD display
  • Press the Dial key
  • Press the Speakerphone key
  • Press the Headset key (if a compatible headset is connected)

5. You Can End The Call Using The 3 Methods Below:

  1. Press the Speaker keyl
  2. Press the “End Call” Soft Key under the LCD Display
  3. Lift and replace the handset

Answering A Call

Next to answers incoming calls, placing calls to internal extensions and external phone numbers will likely be one of the most frequent uses of your desk phone. In this tutorial, we will explain On-Hook vs. Off-Hook Dialing and how to place calls using your Call Log and the Redial funtion.

1. Familiarize yourself with the GRP2615 idle screen

2. Incoming call from internal extension 1002 (Service) to extension 1001 (Sales)

  1. Notice the Line Key in the top left flashes red, indicating an incoming call
  2. In the pop-up window, you can see the extension name and number of the caller
  3. You can answer the call using any one of four different methods:
    • Lift the handset
    • Press the Speaker button for a hands-free speakerphone call
    • Press the “Answer” Soft Key under the LCD Display for a hands-free speakerphone call
    • Press the Headset button to answer on a compatible headset

3. Incoming call from external caller

  1. Notice the Line Key in the top left flashes red, indicating an incoming call
  2. In the pop-up window, you can see the Caller ID name and number of the caller
  3. You can answer the call using any one of four different methods:
    • Lift the handset
    • Press the Speaker button for a hands-free speakerphone call
    • Press the “Answer” Soft Key under the LCD Display for a hands-free speakerphone call
    • Press the Headset button to answer on a compatible headset

4. The Active Call Screen

  • Once the call is answered, the Soft Key options will update as seen in the image below

5. Call Volume Adjustment

  1. Once in the active call, if the volume is too soft or too loud, you can adjust the volume using the button in the image below. When not in an active call, this button will raise or lower your ring volume.

6. Ending the Call

  1. You can end the call using any one of three different methods:
    • Replace the handset
    • Press the Speaker button to end a speakerphone call
    • Press the “End Call” Soft Key under the LCD Display

Hold and Park

In this tutorial, we will discuss the differences between placing a caller on Hold versus parking that caller in a Call Park location.

Hold = Private Hold

Use Hold when you want to put the call on hold for you and only you to retrieve at your own phone. Other phones in the office will not see the call on hold. You can only retrieve the call from the extension where it was put on hold.

Park = Public Hold

Use Park when you want someone else (or yourself) to pick up the call on another phone. The Park key will light on every phone in the office. Anyone can retrieve the parked call by pressing the button.

1. Familiarize yourself with the GRP2615 active call screen.

2. To place the active call on Hold, press the Hold button.

3. To retrieve a call from Hold, press the Hold button again, or the Resume Soft-Key.

4. To Park the call, press an available, green Park button.

5. You can retrieve this parked call from any extension by pressing Park again.

Blind Call Transfer

BUSINESS

Transferring a call to another extension is a common call-handling task. A common use-case would be when you receive a call that was intended for another department, and you need to assist in getting the caller to the correct resource. In our scenario, a Receptionist is calling Sales who informs them that the question isn’t sales-related and should be handled by the Support team. The Sales agent then transfers the call to the Support team to assist.

1. Familiarize yourself with the GRP2615 idle screen

2. Active call between extension 1000 (Reception) and extension 1001 (Sales)

(a). Notice the reception BLF key is red, indicating the extension is busy in an active call.

3. Press either the dedicated Transfer button or the Transfer Soft Key 5 to initiate a Call Transfer.

4. Selecting Transfer will bring up the Dialer Prompt

5. Using the number pad, enter the extension number to which you wish to Transfer.

6. Select either the dedicated Transfer button or the Blind Transfer Soft Key 2.

7. The Transfer is complete and your phone should return to its idle screen.

8. In our example, we can confirm the Transfer was successful because we can see both extension 1000 and 1002 are busy in an active call.
